Privacy Policy

The short version

  • KocerRoxy is a business tool. We collect business contact details and operational records about equipment, work orders and technicians.
  • We do not sell or share personal information, and we run no advertising or cross-site tracking technology on this site.
  • We do not collect payment card numbers, government identifiers, health data or biometric data, and we ask customers not to send them.
  • You can ask us to access, correct, export or delete your information at any time.

1. Who we are

KocerRoxy LLC, a limited liability company organized in New Mexico, United States, operates kocerroxyllc.com and the KocerRoxy application. This policy explains what we collect, why, and what you can ask us to do about it.

For information a customer uploads into KocerRoxy, that customer is the controller and we act as the processor on their instructions. For our own website visitors, waitlist subscribers and account owners, we are the controller.

2. What we collect

Waitlist and inquiry information

When you join the waitlist we store the work email address you enter, and, if you provide them, your company name and the fleet-size range you select. When you email us, we keep the message and your address so we can reply.

Account information

For customers, we store the names, work email addresses and roles of the users you authorize, plus your company details and billing contact.

Customer operational data

Inside the application we process the records you submit: work orders, service locations, equipment and asset histories, technician skills, certifications and shift rules, truck inventory and service contract terms. Some of this relates to identifiable employees, for example which technician was assigned to a job. We process it only to provide the service to you.

Technical and usage information

Our servers keep standard logs: IP address, timestamp, requested page, referrer, browser and operating system. Inside the application we record which features an account uses so we can support and improve it.

Billing information

Payments are handled by a third-party payment processor. We receive a transaction record, the last four digits of a card, and billing address information. We never receive or store full card numbers or security codes.

3. What we deliberately do not collect

The service is not built to receive, and we ask you not to submit:

  • full payment card numbers or bank credentials;
  • Social Security, passport or driver’s license numbers;
  • protected health information or medical records;
  • biometric identifiers such as face or fingerprint templates;
  • continuous or precise location tracking of individuals;
  • information about children, or any data from people under 18;
  • racial, ethnic, religious, political, union membership, sexual orientation or other special-category data.

We also do not build advertising profiles, we do not run behavioral advertising, and we do not load third-party advertising pixels on this website.

4. Why we use information

  • To provide the service: plan schedules, run the application, keep accounts working.
  • To communicate: answer your questions, send waitlist and onboarding updates, notify you of material changes.
  • To bill: process subscription payments and keep financial records.
  • To secure and maintain: detect abuse, debug failures, protect accounts.
  • To improve: understand which features help, using aggregated or de-identified information wherever possible.
  • To comply: meet tax, accounting and other legal obligations, and respond to lawful requests.

We do not use Customer Data to train models that serve other customers without written permission from the customer whose data it is.

5. Legal bases

If the GDPR or UK GDPR applies to you, we rely on: performance of a contract, to deliver the service and bill for it; legitimate interests, to secure our systems, support customers and send business-to-business updates about a product you asked about; consent, where we ask for it, which you can withdraw at any time; and legal obligation, where a law requires the processing.

6. Cookies

This marketing website uses one cookie, a first-party session cookie that exists to protect the waitlist form against cross-site request forgery and duplicate submissions. It is strictly necessary, it holds no profile information, and it expires when you close your browser. There are no advertising cookies and no third-party analytics cookies on this site.

The application itself uses a first-party session cookie to keep you signed in. Our Tailwind CSS stylesheet is loaded from a public content delivery network, which will see the IP address of the request as part of serving the file.

7. Who we share information with

We do not sell personal information and we do not share it for cross-context behavioral advertising. We disclose information only to the following categories of recipients, each under a written agreement limiting them to our instructions:

  • Cloud hosting and storage providers that run our infrastructure in the United States;
  • Email delivery providers that send transactional and onboarding messages;
  • Payment processing providers that handle subscription charges;
  • Error monitoring and support tooling used by our engineering and support staff;
  • Professional advisers such as accountants and counsel, when needed;
  • Integrations you enable, which receive only the data that integration requires.

We may also disclose information when required by law, to enforce our Terms of Service, to protect rights and safety, or in connection with a merger or sale of assets, in which case we will give notice before your information becomes subject to a different policy.

8. International transfers

We process and store information in the United States. If you send us information from outside the United States, you are transferring it to the United States. Where required, we use appropriate transfer safeguards, including the European Commission’s standard contractual clauses, with providers outside your jurisdiction.

9. How long we keep information

  • Waitlist entries: until you ask us to remove you, or 24 months after the last contact, whichever comes first.
  • Customer Data: for the life of the account, then deleted within 30 days of a written deletion request or account closure, other than copies in routine backups that age out.
  • Server logs: up to 12 months.
  • Billing records: as long as tax and accounting law requires, typically seven years.

10. Security

We use encryption in transit, access controls scoped to job function, least-privilege administrative accounts, audit logging, dependency patching and encrypted backups. Access to production systems requires multi-factor authentication. No system is perfectly secure, so we also keep an incident response process, and we will notify affected customers and any required regulator without undue delay if a breach affects their information.

11. Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, receive a portable copy, object to or restrict certain processing, withdraw consent, and not be discriminated against for exercising these rights.

Write to privacy@kocerroxyllc.com and we will respond within 30 days. We may need to verify your identity first. If you are an employee of one of our customers and your information is in their account, we will route your request to that customer, who controls the data.

United States state privacy rights

If you are a resident of California, Colorado, Connecticut, Virginia, Texas or another state with a comprehensive privacy law, the rights above apply to you. We do not sell personal information, we do not share it for targeted advertising, and we do not use it for profiling that produces legal or similarly significant effects. You may appeal a denied request by replying to our response, and you may contact your state attorney general.

European Economic Area and United Kingdom

You may lodge a complaint with your local supervisory authority. We would appreciate the chance to address your concern first.

12. Children

KocerRoxy is a workplace tool for licensed trade businesses. It is not directed to children, we do not knowingly collect information from anyone under 18, and we will delete such information promptly if we learn we have it.

13. Changes to this policy

We will post any update here and move the “last updated” date. If a change materially affects how we handle your information, we will notify account owners and waitlist subscribers by email at least 30 days before it takes effect.
